Lead Finding Software: A 6-Point Checklist Before You Buy
When buying lead finding software, look at where the chain breaks, not at the size of the list. Who it suits, who it does not, and how to work out the cost: a 6-point checklist.
Lead Finding Software: A 6-Point Checklist Before You Buy
Most tools sold as "lead finding software" do one thing: they build a list. A list is the easy part of selling. The hard part is starting a conversation with the business on that list and turning it into a meeting.
This checklist helps you judge, before paying, whether a tool will actually bring you customers.
1. Are your customers on Google Maps?
Most of these tools find businesses on Google Maps. If you sell to businesses, accountants, construction firms, car services, clinics, shops, your customers are probably there.
When it does not fit:
- ▸You sell to consumers: bulk commercial messages to individuals are risky both legally and for account quality.
- ▸Your customers are not on Maps: large corporate procurement teams, public bodies that buy through tenders, and so on.
2. How many links of the chain does it cover?
Finding customers is five separate jobs: discovery, enrichment, first contact, conversation, close. If a tool only does the first, you get a CSV file and the rest is on you. Our comparison article breaks down which class of tool covers which link.
Ask yourself: which link am I stuck on today? If you have a list but nobody replies, another list tool will not fix it.
3. Is the first message personalised?
Sending the same text to hundreds of businesses hurts twice: nobody replies, and your WhatsApp account's quality rating drops. A good tool personalises the message from the business's own information, its website, sector, rating. See our cold message templates for short, business-specific openers.
4. Who talks when someone replies?
If the tool sends and walks away, you or your team will handle the replies. Be honest about how many hours a day you can give that. A reply that arrives in the evening and gets answered the next morning has often gone cold.
An AI assistant that keeps the conversation going closes that gap, but knowing when to stop and hand over to you matters as much as replying. We cover this in our AI sales assistant guide.
5. Is it the official channel, is your number safe?
If the tool reaches people over WhatsApp, ask whether it runs on the official WhatsApp Business Platform. With unofficial tools, a restricted number is a matter of time. The full list of questions is in our WhatsApp bulk messaging tool article.
6. What does reaching one business really cost?
Divide the monthly fee by the number of businesses the tool actually reaches for you. With paplead, for example:
| Item | Monthly |
|---|---|
| paplead subscription | $89 |
| Meta message fees (usage-based) | typically ~$10 (Turkey) |
| New businesses reached | 750 |
| Cost per business | ~$0.13 |
Compare that with what it costs for a sales rep to call and reach the same number of businesses. List tools quote a "per record" price, but a record is not a business you have reached.
Summary
When choosing lead finding software, ignore list size. Look at whether your customers are in that source, how many links of the chain the tool covers, what happens when someone replies, and whether your number is safe.
paplead covers the whole chain: it finds businesses on Google Maps, sends the first message from your own number over official WhatsApp as a Meta-approved template, handles the reply and turns it into a meeting. Setup takes 10-15 minutes. Run a free scan at paplead.com to see how many businesses exist in your city and sector, no card required.
